Can I rename a field?

Yes! To rename a field, navigate Tools > Setup > Forms. Select your Form Type – which is the record type your field is found on. For example, if you want to rename the field “Local Address” in your Student profile, select Student as your Form Type. Next you will choose your Form Item which should be the field you wish to rename. To change the name of the field, adjust the Display Text to suit your needs. Make any other necessary adjustments and then press save. Press refresh at the top of the page.

How do I require a field?

To require or unrequired a field, navigate to Tools > Setup > Forms and select the Form Type (the record type you are working on) and Form Item (the field you would like to require or unrequire). After selecting your Form Item, check the “Require” checkbox to enable the requirement or uncheck the checkbox to unrequire the requirement. If you are making a field required, you must also include a “required message”. The required message is red text that appears next to the field if a user tries moving forward without completing the require field. Something as simple as “Required” works well for the required message. After making your changes, click Save and then Refresh.

Can I require a field to be completed in a specific format?

The system does allow for certain validations on fields. Field validations require that responses be given in a specific format. For example, if you wish to require that Students’ email addresses be given in an email format (xxxxx@xxxxx.xxx), you may set a validation so that all response to this field be in an email format.

To review or setup a field validation, navigate to Tools > Setup > Forms and then select the appropriate Form Type and Form Item. In the email validation example, you would select Form Type: Student and Form Item: Email. Now select “Email” under Validation. With validation, you will also want to include a failure message in case the user does not fill out the form in the correct format. An example of a failure message for email would be “incorrect format – follow this format: Student@email.edu”). After making your changes, press Save and Refresh. Is there a way for me to make user’s passwords more secure?

If you would like to have encrypted passwords, navigate to Tools > Setup > Forms and select the Form Type for the appropriate user. The Form Item will be Password, and then you’ll see a checkbox near the bottom of the form called Password Security. Check this box to encrypt passwords for that user type, then press save and refresh.
