Record Merge

How can I download the sample excel file?

Sample record merge files are available in your site. To download a sample record merge file, head to Tools> Record Merge. Once here click the type of record merge you’d like to create in the list to the left of the page. After you’ve selected the type of record merge, look towards the middle of your page for the “Download Sample Merge Data” heading. Click the excel file icon to the right of this heading.

As you try downloading your sample excel file, your computer may block the download. To avoid having your file blocked, hold control as you click the excel icon and hold control until the excel file fully opens.

What is a record merge?

A record merge is a way for you to create a printable version of a record. Essentially the system will merge a record’s data into a formatted document that you create. Record merges are most useful for creating job flyers or a printed versions of Student profiles for your records.

How do I use a record merge?

To use the record merge tool, you must first create your record merge document and upload it to your site in Tools> Record Merge. After your record merge document is in place, navigate to a record that is the same type of record you created the record merge for. For example if you created a Job Record Merge, go to a job profile. With your record open, click the “Print Forms” link in the left navigation menu of your record. Once you’ve click on the Print Forms link, the system will merge your record’s data into your template and automatically open your record merge document!

I get an error when I try to generate my record merge, how can I fix this?

If you are receiving an error it is likely because a field included in your merge has been renamed within the site. This will cause an error, because the merge field is now incorrectly named. You will need to download the sample record merge file in Tools> Record Merge and reinsert the updated merge code to correct this issue.
